    What is an address book?

An address book stores email addresses for people you correspond with. You can have multiple address books, allowing you to group similar entries together. Our WebMail has three types of address books: Contact, Dataset, and Directory (LDAP).

    Contact Address Books

These address books are folders that contain contacts and groups. They allow for more flexibility and management than Dataset address books.

Entries in these address books are best entered by opening the address book folder.

The default name for your Main Contact Folder is Contacts. This can be changed in Settings - Contacts.

    Dataset Address Books

These are simple address books. By default, one called [addressbook] already exists. They can be created and deleted in Settings - Contacts.

Entries in these address books are entered by opening the Address Book while composing an email message.

In pull-down menus, Dataset Address Books are differentiated from Contact Address Books by being enclosed in square brackets.

    Directory Address Book

The Directory address book is generated from LDAP directories. By default, a directory called (My Domain) has been created containing everybody with an email address in the staff domain

The (My Domain) directory is good way to find an employee's email address.

In pull-down menus, Directory Address Books are differentiated from Contact Address Books by being enclosed in parentheses.

    What is a contact?

A contact is stored in a contact address book. It contains information about an individual.

    To create a contact:

It is important to input a File As when adding a new contact. You'll also want to input an email address.

    What is a group?

A group is stored in a contact address book. In essence, it is a personal distribution list.

    To create a group:

It is important to input a File As when adding a new group.

You can enter email addresses to the group or select them from existing address book. It may be useful to select them from (My Domain) if you're creating a group containing employee email addresses.

If you're entering cryptic email addresses into your list, consider including a Real Name. This can be done by quoting the Real Name and putting the email address between less than and greater than brackets. For example, "Pebbles Flintstone" <pf12345@students.nebo.edu>.

How do I use an address book?

While composing an email message, click on the Address Book icon or the Display button. With larger address books, like the directory, you will want to Filter the results.

Highlight one or more address and click the To button, the Cc button, or the Bcc button.

    Are there any distribution lists?

A distribution list allows email to be sent to multiple recipients at the same time. Our WebMail ha two types of distribution lists: system distribution lists and personal distribution lists.

    What are system distribution lists?

We have created some system distribution lists. An email sent to a list will be sent to members of the list. Lists are used like an email address. Because they belong to the staff domain, they can be found by searching for the name list in the staff email directory.

These lists can be used regardless of how you choose to access your email.

When using WebMail, you don't need to use the list's full email address if it is in your domain.

Can I have personal distribution lists?

Personal distribution lists can be emulated by creating a contact group. When using a group, the To line on an email will include multiple recipients.
